Privacy Policy

Effective date: March 2, 2026

This Privacy Policy explains how Medixcode LLC ("MedixCode," "we," "us," or "our") collects, uses, and shares information when you visit the MedixCode website at https://medixcode.com (the "Site") or contact us through it. By using the Site, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Site. Your use of the Site is also governed by our Terms of Service.

1 Who We Are

MedixCode provides medical billing and revenue cycle management (RCM) services to healthcare practices in the United States. Medixcode LLC is a Wyoming limited liability company. Our mailing address is 30 N Gould St, STE R, Sheridan, WY 82801.

2 This Policy Covers the Website Only

This Privacy Policy applies only to information collected through the Site, including our website forms, email and phone links, and analytics tools. It does not govern information we handle while providing billing or RCM services to clients. That information, including any protected health information (PHI), is governed by the separate written agreements signed with that client and by the Health Insurance Portability and Accountability Act (HIPAA), not by this Privacy Policy.

  • Your name, phone number and email address.
  • Your business name, monthly collections, the services you need and the billing challenges you describe.
  • Your consent to be contacted about your request.

If you email or call us, we collect the information you choose to share in that communication.

Information collected automatically. When you visit the Site, we and our analytics providers collect certain information automatically through cookies and similar technologies, including Google Analytics 4 and Google Tag Manager. We use Google Analytics cookies to understand how visitors use our site. This may include:

  • Pages you view and how long you spend on them.
  • Device type, operating system, and browser.
  • Approximate location (such as city or region) based on your IP address.
  • The website or source that referred you to the Site.

Server logs. Our hosting systems automatically record standard log information, such as IP address, browser type, date and time of access, pages requested, and error information.

Our contact and consultation forms use Google reCAPTCHA to help stop spam. reCAPTCHA collects device and browser information and sends it to Google to check that a real person is using the form. Google's Privacy Policy and Terms of Service apply.

4 Do Not Send Protected Health Information Through the Site

Our website forms do not ask for patient health information, and they are not intended for PHI. Please do not submit PHI, such as patient names, dates of birth, medical record numbers, claim details tied to a patient, or other identifiable health information, through Site forms or email links. Before handling protected health information on a client's behalf, we execute a written agreement containing the required HIPAA business associate provisions and establish a secure method for exchanging data.

5 How We Use Information

We use the information we collect to:

  • Respond to your consultation requests, questions, and other inquiries.

  • Comply with legal obligations and enforce our Terms of Service.

6 How We Share Information

We do not sell your personal information. We share information only in these limited cases:

  • Service providers. We use trusted vendors that help us operate the Site and our business, such as website hosting, email, and analytics providers. They may access information only as needed to perform services for us.
  • Legal requirements. We may disclose information when required by law, regulation, subpoena, or court order, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

7 Cookies and Analytics

Cookies are small text files stored on your device. The Site uses cookies set through Google Analytics 4 and Google Tag Manager to understand how visitors use the Site and to measure the performance of our pages and forms. Google's use of this information is governed by Google's own privacy policy.

If your browser sends a Global Privacy Control signal, we don't run analytics for your visit. You can also opt out in these ways:

  • Browser settings. Most browsers let you block or delete cookies. If you block cookies, some parts of the Site may not work as intended.

8 Data Retention

We keep personal information only as long as needed for the purposes described in this Privacy Policy, such as responding to your request and maintaining business records, or as long as required by law. When information is no longer needed, we delete it or de-identify it.

9 Security

We use reasonable administrative, technical, and physical safeguards designed to protect the information we collect. MedixCode maintains HIPAA-compliant practices. However, no website, internet transmission, or storage system is completely secure, and we cannot guarantee the security of information you send to us through the Site.

10 Your US Privacy Rights

Depending on the state where you live, including California and other states with consumer privacy laws, you may have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate personal information.
  • Delete your personal information.

Do not sell or share. MedixCode does not sell personal information, and we do not share personal information for cross-context behavioral advertising.

Do Not Track. Some browsers offer a "Do Not Track" setting. The Site does not currently respond to Do Not Track signals. We honor Global Privacy Control signals. When your browser sends one, analytics doesn't run.
